RE: Owner Portal Announcement

 

Dear Valued Board Members and Owners:

 

As part of our mission to continue to invest in new technologies which will ensure G.S. Phillips & Co. stays on the cutting edge of what is possible in the Association Management industry, I am excited to announce the partnership between G.S. Phillips & Co. Inc. and Vantaca.  Vantaca is a powerful Association Management Software solution which will prove to be a major asset to our company by automating functions, improving communication and connectivity, and ensuring a better experience for our staff as well as Board Members and Owners residing in our client Associations.

 

With the introduction of the Vantaca system, Owners who have access to the internet will be able to take advantage of new functionality via the G.S. Phillips & Co. Owner Portal.  This portal is accessible by Owners at all G.S. Phillips & Co. communities beginning in 2024.

 

 This portal integrates with our management software to provide information to Owners in real time.  Announcements from your Association can be distributed via this portal, and Owners will be able to access past announcements in a historical file.  Owners may also review the Association’s governing documents, budget, meeting minutes, newsletters and other important documents as selected by the Board and Community Manager. 

 

Additionally, Owners will be able to view their account ledger, research their payment history, and see their balance in real time.  Payments will also be accepted via the portal, and will be applied to the Owner’s ledger instantly.  

 

Maintenance requests can be submitted via the portal, and when the request is completed, the Owner who submitted the request will be notified via the portal.  Board Members can access historical maintenance request information and see in real time which requests have been completed and which are still in progress. 

 

If your Association has Amenities which can be rented out, the facilities can be reserved out for private functions using the Amenity Calendar feature of the Owner Portal, payments for rental fees can be collected, and the system will automatically ensure there is no conflicts with other scheduled events. 

 

Rules compliance reports can be submitted via the portal, and the submitting Owner can see what corrective action has been requested.  It will also keep track of violations on every property, and Owners of those properties will be able to see what compliance related matters need to be addressed at their home.

 

Overall, the Owner Portal will greatly improve the Owner’s ability to interact with their Association and G.S. Phillips & Co. and will prove to be a major improvement over the current system.

 

Please be patient as we move through the process of setting up the portal access.  Owners who have an email address on file with their Association will receive an email in mid-January with their login credentials for the Owner Portal.  Owners will need to follow the steps therein to ensure that their portal access is set up and they can take advantage of all the features the portal offers.

 

More information will be sent out to all Owners, via email if an email address is on file and via mail if it is not, in late January.  We look forward to offering this incredible new service to all Owners residing in G.S. Phillips & Co. managed Associations.
